These Terms & Conditions outline the rules and policies for all patients and visitors of Castle View Dental Surgery (“the Practice”, “we”, “our”). By booking an appointment, attending our clinic, or using our website, you agree to abide by these terms.


2. Appointments & Cancellations

  • Appointments can be made by phone, email, in person, or online (where available).

  • We kindly request at least 48 hours’ notice for cancellations or rescheduling.

  • Failure to attend or late cancellations may incur a missed appointment fee.

  • Persistent non-attendance may result in refusal of future bookings.


3. Fees & Payments

  • All fees for private treatments will be discussed and agreed upon before treatment begins.

  • Payments for routine treatments are due on the day of service unless otherwise arranged.

  • Certain procedures may require advance deposits, which are non-refundable if appointments are missed or cancelled without adequate notice.

  • We accept payment by cash, debit/credit cards, and approved finance plans.

  • NHS fees (if applicable) will be charged according to current NHS dental band charges.


4. Treatment Plans & Estimates

  • Treatment plans and cost estimates are provided following your examination.

  • Estimates remain valid for 90 days but may be subject to change if treatment needs alter.

  • We will inform you of any significant changes to your treatment plan or fees before proceeding.


5. Confidentiality & Data Protection

  • We comply fully with the UK Data Protection Act 2018 and GDPR requirements.

  • Patient records and personal information are kept strictly confidential and will only be shared with other healthcare professionals or third parties when necessary for your care, or when required by law.

  • You have the right to request access to your personal records at any time.


6. Patient Responsibilities

  • Please provide accurate personal, medical, and contact information to help us deliver safe and effective care.

  • Inform us of any changes to your medical history or medication before your appointment.

  • Follow all after-care advice provided by your dentist or hygienist to ensure the best treatment outcomes.


7. Emergency Appointments

  • We aim to provide same-day emergency appointments for urgent dental issues wherever possible.

  • Emergency care is subject to availability and may incur separate fees, which will be discussed prior to treatment.


8. Complaints Procedure

  • We strive to offer the highest standard of care but recognise that occasionally things may go wrong.

  • If you have a complaint, please raise it with a member of our team as soon as possible so we can resolve the matter promptly.

  • A copy of our full Complaints Procedure is available on request or from reception.


9. Website Use

  • Information on our website is provided for general guidance and should not be used as a substitute for professional dental advice.

  • We are not liable for any damages arising from reliance on website information or from third-party links.


10. Liability

  • While we take every care in delivering our treatments, we shall not be held responsible for any loss or damage arising from circumstances beyond our reasonable control.
